We keep things simple and transparent when it comes to your data.

What we collect (and why)

When you join Team Marketing, we may collect:

  • Phone number – required to be part of the WhatsApp community

  • Email address – collected via new member forms and event bookings

We use this to:

  • Manage your membership

  • Share important updates (especially about events)

  • Make sure communication is relevant to you

How we may contact you

We may contact you directly where needed, including:

  • If there is a breach of community rules

  • To offer relevant opportunities (e.g. speaking, research participation)

  • To verify your identity or confirm your membership details

  • To share important event or community updates

We aim to keep this contact relevant, respectful and minimal.

What we share

We do not sell or share your data as standard.

The only time your information may be shared is:

  • Event attendee lists with sponsors, and

  • Only where you have explicitly opted in to share your details

If you don’t opt in, your data stays private.

How your data is stored

We store data in a small number of systems to manage the community effectively:

  • Google Contacts – to identify members in the WhatsApp group

  • CRM – to manage memberships and segment members (e.g. in-house, freelance, agency) so we can tailor opportunities and communication

We only store what we need.

Visibility within the community

As part of being in the WhatsApp group your phone number and name may be visible to other members.

Your choices

You can request to update or remove your data at any time.

  • A phone number is required to remain in the WhatsApp group

  • Removing your number means leaving the community

  • You can opt out of any optional communications or data sharing

Data use and retention

We process your data based on your consent and our legitimate interest in running the Team Marketing community.

We only keep your data for as long as you remain a member, or as needed to manage past participation in events and communications.

Surveys and research

From time to time, we may run anonymous surveys (such as Team Marketing Pulse).

These surveys:

  • Do not collect personal identifiers such as names, email addresses or phone numbers

  • May include questions about your role, how you work and your opinion - use cases are subject to change

We only ever use this data in aggregated, anonymised form and never to identify individuals. This data is used to improve the community and create useful benchmarks.

Aggregated insights may be shared:

  • With the Team Marketing community

  • In wider content such as reports, social media or events

Individual responses will never be identifiable and survey data is not sold.

Keeping your data safe

We take reasonable steps to keep your data secure and limit access to those managing the community.
